Set up trade agreements and offers

A business agreement holds the terms you trade on with one customer. A wholesale offer says which product you sell at what price, in what packs, from what quantity and until when. Orders are built from offers.

Before you start

• Switch on Trade & Wholesale for your organisation: see Pick your apps. It needs customers and stock.
• You need Manage Trade. See Roles and rights.
• The customer must already exist in your customer list. Set its credit limit there: Trade checks it.

Steps: create a business agreement

1. Open Trade & Wholesale and select the Business agreements tab.
2. Under New · Business agreements, type a Title and pick the Customer.
3. Type the Sales territory and pick who it is Assigned to (the sales rep), if you use them.
4. Type the Commission in basis points (500 = 5%) and the Payment terms in days.
5. Type Second approval above this amount, and tick Require a different approver above the limit if orders above it must be approved by someone other than the person who submitted them.
6. Select Create record.

Steps: publish a wholesale offer

1. Select the Wholesale offers tab.
2. Type a Title and pick the Stock product.
3. Pick a Customer only if the offer is for that customer alone; leave it empty for every trade customer.
4. Type the Unit price, the Units per pack, the Minimum order quantity and Price valid until.
5. Select Create record.
6. To add a volume price, open the offer, open Add volume price, type the Minimum order quantity and the lower Unit price, and select Add volume price.

Good to know

• Order quantities must be whole packs and at least the minimum. An expired offer cannot be ordered.
• Each volume price must start above the minimum, be a whole number of packs and be lower than the price before it. An offer can have up to 10.
• Archive stops using an agreement or an offer; nothing is deleted.
• Prices and terms are frozen when an order is submitted. If you change an offer afterwards, a draft that uses the old version is refused at submit and must be rebuilt.
