Roles and rights
Kluvan decides what a person may do from three things: their role, the rights ticked for them, and the branches they may see. Their seat sets how much of Kluvan they can use at all.
Roles
| Role | Can do |
|---|---|
| Owner | Everything, including billing, the copy of your data and deleting the account. There is one owner: the person who created the account. |
| Manager | Every right in the apps, and managing the team. Managers cannot make or remove other managers; only the owner can. |
| Team member | Only the rights ticked for them. |
Rights
A team member starts with no special rights. Tick the ones they need:
- Open Team → Users and pick the person.
- Open Rights. The rights are grouped by app: for example who may give discounts, see costs, record payments, approve bills, run campaigns or manage the customer portal.
- Tick or untick, then choose Save. The change applies to their next page.

Some apps keep their own, stricter rights:
- Books: six Books rights, off by default for everyone but the owner, such as seeing the ledger, posting entries and approving. A person limited to some branches cannot reach Books' money pages.
- HR: salaries, bank details and documents stay hidden from anyone without the pay right, even from managers until the owner grants it. Every look at a salary or a document is logged.
- CRM: viewing, managing and sending campaigns are three separate rights.
Limit someone to some branches
With several branches, a team member can be given only some of them. They see and change only those branches' records, and they cannot widen their own access.
Good to know
- Presets on the invitation page tick a ready-made set of rights; adjust them afterwards.
- Who did what is recorded in the activity log.
