Create a subscription plan

A plan is what you sell on a cycle: a price every week, month, quarter or year, and what it includes. Each customer on a plan is one subscription. Create your plans first; you add subscribers to them afterwards.

Before you start

• A manager switches the app on: open Settings → Subscriptions, tick Subscriptions are on, and select Save. Subscriptions needs your customer list; switching it off later hides the pages and stops the bills, and deletes nothing.
• To create or change plans you need the Create and change plans and subscriptions right.

Steps

1. Open Subscriptions → Subscription plans.
2. Open New plan.
3. Type the Plan name, for example "Gym monthly".
4. Type the Price for one cycle, before VAT.
5. Choose the Cycle: Weekly, Monthly, Every 3 months, Yearly or Every N days. For every N days, type the number in Days (every N days only).
6. Optional: type a Setup fee. It is added to the first invoice only.
7. Optional: type Trial days for a free trial before the first bill.
8. Choose how A change of plan is billed: From the next bill, Now, for the days left, or Now, a new cycle from today. This is the default; you can choose another rule each time you change a subscriber's plan.
9. Optional: for a family plan, raise Members (family plan) above 1.
10. Type a short Description.
11. Tick or untick the options: VAT applies, Renews by itself, Sold, On the sign-up page, The customer may pause and The customer may cancel.
12. Under Includes, list what each cycle includes: pick a Product or type a service in Or a service, and the number in Each cycle. For example "8 visits".
13. Select Save. The plan appears in the list with its subscribers and its monthly revenue.

Good to know

• VAT. Prices are before VAT. When VAT applies is ticked, your organisation's VAT rate is added on each invoice. Untick it for exempt services such as some tuition.
• Renews by itself. Untick it for a plan that runs one term and ends.
• Sold and On the sign-up page. Untick Sold to stop selling a plan without touching its current subscribers. Untick On the sign-up page to sell it only through your team.
• Cycles count from the first paid day. A monthly plan started on 31 January bills on 28 February, 31 March, 30 April, and so on. Dates follow the Gregorian calendar; nothing moves with Ramadan or other seasons.
• Each subscription keeps its own price. A manager can change one subscriber's price under Details on their subscription.
