Find a batch or serial number
Every delivery is a batch (a lot) with its reference, expiry, cost and supplier, and every serial-numbered unit is a lot of one. They travel with the goods between locations, so you can find any of them in seconds, for example when a supplier recalls a batch.
Before you start
- Switch on lots in Settings → Features, and Warehouses in Settings → Warehouses.
- For serial numbers, tick the categories in Categories with serial numbers in Settings → Warehouses.
- You need the right Inventory, receiving, stock-take.
Steps: receive serial-numbered units
- Open Warehouses and select the location.
- Under Receive serial-numbered units, pick the product and type its cost.
- Type or scan the serial numbers, one per line.
- Select Receive. Each serial number becomes its own lot of one unit.
Steps: find a batch or serial number
- Open Warehouses → Batch and serial search.
- Type or scan the batch or serial number and select Search.
- Read On hand: each location that holds it, with expiry, quantity and supplier.
- Read On the way: any transfer carrying it, with From and To.
- Read Movements: the deliveries it went into and everything that happened to it.

Good to know
- The search ignores spaces, dashes and capitals: "L-2405", "l 2405" and "L2405" find the same batch.
- A serial number already in stock anywhere in the organisation cannot be received again, and one typed twice is refused.
- When goods move, the batch keeps its reference, expiry, cost and supplier at the new location. Sending takes the scanned serials and batches first, then the first-expiring ones.
- A return goes back into the lot it came from.
- Each location's page lists its batches and serial numbers first-expiring-first, with the days left and expired ones marked.
- For expiry dates and returns to the supplier, see Track lots and expiry dates.
