Run a blind cycle count

A cycle count checks one location at a time instead of the whole business. Counts are blind by default: the person counting does not see what should be there, so the figure is honest. A manager then sees the difference and approves it.

Before you start

  • Warehouses must be switched on: see Set up stock locations.
  • You need the right Inventory, receiving, stock-take. Approving needs a manager.

Steps: start the count

  1. Open Warehouses → Stock counts and go to New count.
  2. Pick the Location.
  3. In What to count, choose Everything, one Category or one Bin / shelf.
  4. Leave Blind: the counter does not see what should be there ticked.
  5. Add a Note if you want one and select Start the count. Kluvan notes what the location holds at this moment.

Steps: count

  1. Open the count on a phone or computer.
  2. Scan each unit into the code field and select Count it, or type the quantity with Set count on a line.
  3. Select Save as you go.
  4. When you are done, select Counting done: send for approval.

Steps: approve the difference

  1. The manager opens the count. The Variance report shows each product's Expected, Counted and Difference, with Over, Short and Net at cost.
  2. Select Approve the difference to post it, or Count again to send it back.

Good to know

  • A count can cover up to 2,000 products. For a bigger location, count it by category or by shelf.
  • Movements after the count started stay counted: the difference is posted on the stock as it is when the manager approves.
  • Each difference becomes a stock movement, valued at the product's cost.
  • Cancel the count stops it without changing stock.
  • Managers see the expected figures while counting; other staff do not, unless Counts are blind for staff is unticked in Settings → Warehouses.
  • For a stock-take of a whole branch without locations, see Count your stock.
