Count your stock
A stock-take compares what is on your shelves with what Kluvan expects, and corrects the stock in one go. Several people can count at the same time from their phones.
Before you start
- You need the right Inventory, receiving, stock-take.
- Pick a quiet time. Movements recorded while the count is open still count, but a calm shelf gives a cleaner result.
- If you use Warehouses, count one location at a time with a blind count instead: see Run a blind cycle count.
Steps
- Open Inventory → Stock-take.
- Type a Note if you want one (for example "Year-end count") and select Open a stock-take. The page shows Open since with the time and your name.
- Each counter opens the same page on a phone or computer. Use Filter and the search to find a product, or scan its barcode.
- Type the counted quantity in Count for each product. If two people count the same product, the last count wins.
- Select Save counts often. Progress shows how many products are counted.
- When counting is done, open the Variance report. It lists each product's Expected and counted quantity, the Difference and the Value difference at cost.
- Use the Not counted filter to find products nobody counted. Tick Uncounted = zero only if those products are really gone.
- Select Apply and confirm. The stock of every counted product becomes the counted quantity.

Good to know
- Applying records each difference as a stock movement, so you can trace it later in Movements.
- Cancel the stock-take closes it without changing any stock.
- Past stock-takes lists every earlier count with its date, the products counted, the differences and their value.
- With lots on, a product whose stock went down has its lots trimmed to match.
