Add a product

Every item you buy, keep or sell is a product. A product carries its name, barcode, category, prices, cost and, when you track it, its stock in each branch.

Before you start

Steps

  1. Open Inventory → Product list and select New product.
  2. Type the Name. Add an Alternative name if you also use the product's name in another language.
  3. Scan or type the Barcode. On a phone, Scan with the camera opens the camera. If the product has no barcode, select Generate: Kluvan makes an in-store code starting with 2, which can never match a maker's barcode.
  4. If your country's catalogue knows the barcode, Kluvan shows In the catalogue with its name. Select Use the catalogue's name to fill the name, the alternative name and the category.
  5. Pick the Category.
  6. Type the Price, and the Cost if you track what you pay. A Sale price and a Wholesale price are optional.
  7. In Full stock, type the quantity a full shelf holds. Leave it at 0 if you do not count this product's stock.
  8. If you buy in cartons and keep pieces, type the Pieces per pack and, if the carton has its own code, the Pack barcode.
  9. Choose the Unit (piece, kilogram and so on) and add a Description if you want one.
  10. Select Save, or Save and add another to start the next product at once.
  11. To add a picture, open the product again and select Choose a picture.

Pick products from the catalogue

Where your country has a shared product catalogue, Inventory → Catalogue picker lists its products. Type to filter, tick the ones you sell, type a price if you like, and select Add selected. The page asks you to switch catalogue sharing on in Settings → Integrations first.

Good to know

  • A picture can be JPEG, PNG or WebP. It is shrunk to 1200 px and its camera and location data are removed. The page shows how much of your picture space is used.
  • Delete on a product that already has history hides it instead, so its name stays in your reports.
  • Visible / Hidden on the list lets you stop using a product without deleting it.
  • Stock is kept per branch. A product's stock changes only through receiving, stock-takes, transfers, sales documents and the other stock movements; see Check stock levels and movements.
  • For colours and sizes, see Set up product variants.
