Import and export products
Use a file when you have more products than you want to type, or when you want to edit prices and names in a spreadsheet and bring them back.
Before you start
- You need the right Edit products.
- Coming from another program with customers, suppliers and balances as well? The guided import brings everything in one go: see Bring your data.
Steps: export your products
- Open Inventory → Import & export.
- Select Export every product (CSV). Kluvan downloads one file with 21 columns, in UTF-8, which opens in Excel.
Steps: import a file
- Prepare a CSV or an Excel file (.xlsx). The first line names the columns, for example
name,price,barcode. - Open Inventory → Import & export.
- In File, choose your file.
- Select Import.
- Check Columns recognised to see which columns Kluvan understood.
- If Kluvan asks you to confirm, select Confirm, or No, leave it to stop.
- Read the result: Done: with the number of products added, updated and skipped, and any Errors by line.

Good to know
- Each line is matched to an existing product by its id, then its barcode, then its name. A match is updated; anything else is added.
- An empty cell keeps the product's current value, so a file with only
barcodeandpricechanges prices and nothing else. - The export file imports back as it is: export, change the prices in Excel, save, and import.
- If you upload a full backup by mistake, Kluvan asks whether to take only its products.
- The guided import in Bring your data adds a dry run and a 30-day undo; it takes files up to 20 MB or 50,000 rows and refuses
.xlsand.ods. - After an import, check Print product labels for products that came without a barcode.
