KluvanHelp

Bring your data

You can start Kluvan three ways: look around with sample data, bring in the lists you already keep, or start clean and type as you go. Most organisations bring their lists: it takes an afternoon, and you can undo an import for 30 days.

Option 1: look around with sample data

If you have not issued anything yet, you can fill your organisation with a realistic sample: products, customers, suppliers and a few weeks of activity. Everything sample is marked, and Remove sample data takes it all out again while keeping what you added yourself. See Try Kluvan with sample data.

Option 2: import your lists

Kluvan's import reads an Excel (.xlsx) or CSV file, recognises the columns, shows you every row it will add or change, and only then writes. You can bring:

  • products, with prices, barcodes and categories;
  • customers and suppliers, with what each one owes you or you owe them today (opening balances);
  • opening stock per product.

Steps in short:

  1. Open Settings → Bring your data (or Inventory → Import & export for products only).
  2. Download the template, or upload the file you exported from your old program.
  3. Check the columns Kluvan matched, and fix any it could not match.
  4. Read the findings: rows with problems are listed, and you can download them as a file to correct.
  5. Run the import. The batch appears in the list with Undo for 30 days.

The full guide is Import your lists. There is a guide for each program you may come from: Excel, QuickBooks, Xero, Zoho, Odoo and Daftra.

What the import does not bring

Open invoices and bills, past journals and old history do not come across. Bring each customer's and supplier's balance as an opening balance instead, enter your accounts' opening balances in Books, and keep your old program read-only for history.

Good to know

  • Files up to 20 MB and 50,000 rows. Old .xls and .ods files are refused: save them as .xlsx first.
  • Importing the same file twice is detected, so nothing is added twice.
