Move from Odoo

Leaving Odoo? Bring your lists and the balances you start with. Kluvan has no ready-made layout for Odoo files, so it maps each column by its heading and by what it holds; you check every guess before anything is imported.

Before you start

  • Choose your start date, for example the first day of a month. Your balances and stock are taken on that date.
  • Keep Odoo for history: past invoices, payments, journals and reports stay there.
  • You need to be the owner or a manager in Kluvan.

Steps

  1. In Odoo, export your products to CSV or Excel. Include the name, the internal reference, the barcode, the category, the sales price and the cost.
  2. In Odoo, export your contacts to CSV or Excel. Make one file of customers and one of vendors; if the export holds both, split it in Excel.
  3. In Odoo, export the report of what each customer owes and what you owe each vendor on your start date to Excel. Copy each person's total into a balance column of the customers and vendors files.
  4. If you track stock in Odoo, export the quantity on hand of each product on your start date.
  5. In Kluvan, open Settings → Bring your data and bring the products file first.
  6. Under Columns: what each one is, check each guess. Map the internal reference to Code / SKU.
  7. Read What we found, then press Import.
  8. Bring the customers file (balance → Opening balance they owe), then the vendors file (balance → Opening balance we owe).
  9. Bring the stock file with What is in the file? set to Opening stock. Each row finds its product by barcode, code or name.
  10. Set Date of the opening balances and stock to your start date each time, then press Import.

What comes across

  • Products: name, code, barcode, category, sales price, cost, unit and description. For product variants, use one row per variant and map the product's column to Item group (variants) and the variant's column to Variant (size, colour…).
  • Customers and vendors: name, e-mail, phone, address, tax number and one opening balance each.
  • Opening stock: the quantity of each product, with its cost, expiry date and lot number if you bring them.

What does not

  • Open invoices and bills, payments, journals and sales history are not imported. Bring one opening balance per customer and vendor instead, and keep Odoo for the history.
  • Odoo's accounts, taxes, price lists and warehouse locations are not imported. Products take your organisation's VAT rate; stock goes to the branch you choose under Stock goes to the branch.
  • Lots are not created; a lot number is written on the opening stock movement.

Checks after the import

  • Compare the total in the dry run ("… owed in total") with Odoo's total of what customers owe on your start date, and do the same for vendors.
  • Compare the stock of a few products with Odoo.
  • Download the findings (CSV) and deal with every skipped row, for example opening stock for a product Kluvan could not find.
  • Something wrong? Undo the import, fix the file and bring it again.

Good to know

  • Starting the accounts in Books? Enter the opening balances of your accounts in Books; this import fills customers, suppliers, products and stock.
