Move from Xero
Leaving Xero? Bring your lists and the balances you start with. Kluvan has no ready-made layout for Xero files, so it maps each column by its heading and by what it holds; you check every guess before anything is imported.
Before you start
- Choose your start date, for example the first day of a month. Your balances are taken on that date.
- Keep Xero for history: past invoices, payments and reports stay there.
- You need to be the owner or a manager in Kluvan.
Steps
- In Xero, export your products and services (items) to CSV or Excel.
- In Xero, export your contacts to CSV or Excel. Make one file of customers and one of suppliers; if the export holds both, split it in Excel.
- In Xero, export the report of what each customer owes on your start date, and the report of what you owe each supplier, to Excel.
- Copy each person's total into a balance column of the customers file and of the suppliers file.
- In Kluvan, open Settings → Bring your data and bring the items file first.
- Under Columns: what each one is, check each guess. Map the item code to Code / SKU, the sale price to Selling price and the purchase price to Cost.
- Read What we found, then press Import.
- Bring the customers file. Map the balance column to Opening balance they owe.
- Bring the suppliers file. Map the balance column to Opening balance we owe.
- Set Date of the opening balances and stock to your start date each time, then press Import.

What comes across
- Items: name, code, description, sale price, purchase price and, if your file has it, the quantity in stock.
- Customers and suppliers: name, e-mail, phone, address, tax number and one opening balance each.
What does not
- Open invoices and bills, payments, bank lines, journals and sales history are not imported. Bring one opening balance per customer and supplier instead, and keep Xero for the history.
- Xero's accounts and tax rates are not imported. Products take your organisation's VAT rate.
- Columns Kluvan has no place for can be left out with (leave out).
Checks after the import
- Compare the total in the dry run ("… owed in total") with Xero's total of what customers owe on your start date, and do the same for suppliers.
- Open a few products and check price and cost.
- Download the findings (CSV) and deal with every skipped row.
- Something wrong? Undo the import, fix the file and bring it again.
Good to know
- Phone numbers are read in your country's form. A number that does not fit is kept as written, and the findings say so.
- Starting the accounts in Books? Enter the opening balances of your accounts in Books; this import fills customers, suppliers, products and stock.
- No spreadsheet export at hand? Use our templates.
