Move from Daftra

Leaving Daftra? Bring your lists and the balances you start with. Kluvan has no ready-made layout for Daftra files, so it maps each column by its heading and by what it holds. Arabic headings are read as well as English ones; you check every guess before anything is imported.

Before you start

  • Choose your start date, for example the first day of a month. Your balances and stock are taken on that date.
  • Keep Daftra for history: past invoices, payments and reports stay there.
  • You need to be the owner or a manager in Kluvan.

Steps

  1. In Daftra, export your products to Excel or CSV.
  2. In Daftra, export your clients to Excel or CSV.
  3. In Daftra, export your suppliers to Excel or CSV.
  4. In Daftra, export the report of what each client owes and what you owe each supplier on your start date to Excel. Copy each person's total into a balance column of the clients and suppliers files.
  5. If the files are .xls, open them in Excel and save them as .xlsx or CSV.
  6. In Kluvan, open Settings → Bring your data and bring the products file first.
  7. Check each column's guess under Columns: what each one is, and set Numbers are written like if prices use a decimal comma.
  8. Read What we found, then press Import.
  9. Bring the clients file as Customers (balance → Opening balance they owe), then the suppliers file (balance → Opening balance we owe). Set Date of the opening balances and stock to your start date each time.

What comes across

  • Products: name, name in the other language, barcode, code, category, selling price, cost, unit and stock.
  • Clients and suppliers: name, phone, e-mail, address, tax number and one opening balance each.
  • Arabic-Indic digits (١٢٣), the Arabic decimal mark and currency words such as ج.م or ر.س are read as numbers.
  • Arabic Excel CSV files (Windows-1256) are read without any change.

What does not

  • Open invoices and bills, payments, journals and sales history are not imported. Bring one opening balance per client and supplier instead, and keep Daftra for the history.
  • Daftra's accounts and tax settings are not imported. Products take your organisation's VAT rate.
  • Old .xls files are refused: save them as .xlsx or CSV first.

Checks after the import

  • Compare the total in the dry run ("… owed in total") with Daftra's total of what clients owe on your start date, and do the same for suppliers.
  • Open a few products and check the Arabic and English names, price and cost.
  • Download the findings (CSV) and deal with every skipped row.
  • Something wrong? Undo the import, fix the file and bring it again.

Good to know

  • Phone numbers are read in your country's form. A number that does not fit is kept as written, and the findings say so.
  • Starting the accounts in Books? Enter the opening balances of your accounts in Books; this import fills customers, suppliers, products and stock.
  • More about the columns and limits: how import works.
