Invite your team
Everyone who works in Kluvan signs in with their own e-mail address. You invite them; they accept from the e-mail and sign in with a code, like you. Each person has a role, a seat and a list of rights.
Before you start
You need to be the owner or a manager. Decide each person's seat first (see Seats):
- Full: everything their role allows.
- Field: assigned work, time, photos and checklists on the phone pages.
- Restricted: self-service only: their own time off, payslips, expense claims and assigned checklists.
Steps
- Open Team → Users and choose Invite.
- Type the person's Name and E-mail.
- Pick the Role: Manager or Team member.
- Pick the Seat: full, field or restricted.
- Optional: pick one of the Presets to tick a ready-made set of rights (for example for an accountant or a store keeper). You can change each right later.
- Choose Send the invitation.

The person gets an e-mail with a link. They confirm their name and they are in. If the e-mail does not arrive in a few minutes, ask them to check Junk or Spam, then use Resend under Pending invitations.
Choose what each person may do
- Open Team → Users and pick the person.
- Open Rights and tick what this person may do without a manager: for example see costs, give discounts above a limit, approve bills, see salaries.
- Choose Save.

Roles
| Role | What it means |
|---|---|
| Owner | The person who created the account. Every right, billing, and the only one who can delete the account. |
| Manager | Every right of the apps, and can invite and manage the team. Always holds a full seat. |
| Team member | Only the rights ticked for them, in the branches they are given. |
Good to know
- An invitation lasts 7 days. A pending invitation already counts as a seat; cancel it if the person will not join.
- With several branches, a team member can be limited to some branches: they see only those branches' records.
- To stop someone signing in, choose Deactivate on their row. Their past work stays in the records and the activity log.
- HR has its own rights for salaries and documents: see Roles and rights.
- Next: bring your data.
