Get started with Service Business

Service Business is the bundle for organisations that sell their work: maintenance and installation companies, contractors, agencies and consultancies. It follows a job from the first quote to the signed contract, the work in the field, the invoice and the payment.

What the bundle includes

Every paid plan also carries Studio, the Owner workspace and access for your accountant.

Your first week

1. Set up your organisation. Enter its name, address and tax number, and add a branch for each office or site. See Set up your organisation and branches.
2. Switch on the apps. Open Settings → Apps and choose Switch on on each app of the bundle. Switch on Books before Collections: Collections needs it. See Pick your apps.
3. Invite your team with the right seats. Office staff get a full seat, technicians a field seat, and everyone else a restricted seat. The bundle includes seats of all three types. See Invite your team and Seats.
4. Bring your data. Import your customers with what each one owes you today, and your services and parts. See Bring your data.
5. Set up Books. Enter your tax identity, bank accounts and opening balances. See Set up Books.

The first real job in each app

1. CRM: add your open deals to the pipeline.
2. Contracts: send your first proposal for acceptance: see Contracts.
3. Projects: set up projects, then create a project with phases and ask your team to record time.
4. Field jobs: register the equipment you service, create a work order and schedule a technician. The technician does the job from their phone.
5. Books: invoice the finished work order or the project, and record the payment.
6. Collections: switch on the credit book and reminders, then send today's reminders.
7. Portals: give a customer access so they can follow their tickets and estimates.

Good to know

• During the 30-day trial every app is open. After it, the apps outside the bundle switch off; their records are kept.
• Collections Essentials leaves out the collectors, disputes and payment-matching pages of the full Collections app. Trade Business and Kluvan One have the full app.
• Field staff see their own jobs on the phone. Costs and margins stay hidden from anyone without that right.
