Give a customer or supplier access to the portal

Portal access is given per company: a customer or a supplier. You choose which sections its people see, then add the people who should sign in. Access never reaches beyond that company's own records.

Before you start

  • Switch on Customer Portal in Settings → Apps (see pick your apps). On the menu the app is called Portal.
  • You need the Customer access right (see roles and rights).
  • The customer or supplier must already exist in your records, ideally with an e-mail address.

Steps

  1. Open Portal → Overview and select Give access.
  2. The Give a customer access card opens. To give a supplier access instead, select Give a supplier access.
  3. Type part of the name, phone or e-mail in Search by name, phone or e-mail and select Search.
  4. Next to the company, select Give access. Its portal page opens with the message Access given. Now add the people who should sign in.
  5. Under What they see, tick the sections this company's people may see, for example Invoices, Support, Service, Proposals and agreements or Projects for a customer, and Requests for quotation, Purchase orders, Documents asked of you or Bills and payments for a supplier.
  6. Keep Portal access is on ticked and select Save.
  7. Under People, add the people who will sign in (see add portal people and choose their roles).

See every company with access

  1. Open Portal → Companies.
  2. Use the tabs All, Customer and Supplier, or search.
  3. Each row shows the Sections, the number of People and the State (On or Off). Select a name to open its page.

Switch a company's access off

  1. Open the company's portal page.
  2. Untick Portal access is on and select Save. Every person of that company is signed out at once.

Good to know

  • A section needs its app. A customer section shows records only while its app is on for the company's branch. A supplier's requests for quotation, purchase orders and documents need Procurement; its bills and payments need Books.
  • Sections for new companies. The sections ticked at first come from Portal settings (see set up the portal's look). You can change each company's sections afterwards.
  • Only their own company. Every page and every action checks the person's company. A record of another company is never shown.
  • The portal's address is shown at the bottom of the company page under The portal's address. People sign in there with their e-mail; an invitation carries its own link.
  • Earlier single-customer access. Access created before the Portal app (one customer, one e-mail, one link) keeps working. You find it under Portal → Earlier → Single-customer access.
  • Marketing stays separate. Giving portal access does not sign anyone up for campaigns.
  • Next: what your customers see and work with suppliers in the portal.
