Add portal people and choose their roles

A company can have several people in the portal: the accountant who pays, the manager who approves, the colleague who opens tickets. Each person has their own sign-in and their own roles, so everyone sees the company's sections but only the right people can act.

Before you start

  • The company has portal access (see give a customer or supplier access).
  • You need the Customer access right.
  • Check each person's e-mail address with them. Sign-in codes go only to that address.

Steps

  1. Open Portal → Companies and select the company.
  2. Under Add a person, type the Name and the E-mail.
  3. Under Roles, tick what this person may do (see the table below). Viewer is ticked by default.
  4. Keep Send the invitation now (one e-mail to this address) ticked to e-mail the invitation at once.
  5. Select Add a person. The person appears under People as Invited.

What each role allows

RoleWhat the person can do
ViewerSee the sections you shared with the company.
ApproverAccept proposals and estimates, send quotes, answer purchase orders.
PayerPay invoices, dispute an invoice, promise a payment date.
RequesterOpen tickets and service requests, send messages, delivery notes and documents.
AdminInvite colleagues of the same company and change their roles.

Roles add up: one person can hold several.

Change roles, resend or remove

  1. In the person's row, tick or untick roles and select Save.
  2. If the invitation was lost, select Send again (or Send the invitation for someone added without one).
  3. To take a person out, select Remove access. Their state becomes Removed.

Good to know

  • The invitation is one e-mail to one address. Its button works once, for 14 days, and is accepted on a page with Accept and sign in, so a mail scanner cannot use it. Afterwards the person signs in with their e-mail and a code.
  • The company's own admin can invite colleagues from the portal's Colleagues tab with Invite a colleague, and change their roles. An admin cannot remove themselves or their own admin role.
  • One e-mail, several companies. If the same address belongs to more than one of your customers or suppliers, the person switches between them in the portal.
  • Removing is immediate. The person's open sessions end at once and no new code can be sent.
  • Last sign-in shows when each person last came in, or Never.
  • No seats. Portal people are not seats in your plan (see seats).
  • Every invitation, role change and removal is kept in the audit log with who did it.
