Let customers pay an invoice online
This feature is in early access: it is built and tested, but not yet switched on for every organisation or not yet tried with the outside provider. Ask us on WhatsApp if you would like to try it.
When your organisation takes payments through its own Paymob account, a person with the Payer role can pay a Books invoice straight from the portal, in full or in part. The payment is recorded in Books as a receipt against that invoice, with no typing on your side. This is early access: it has been tested against Paymob's test environment only.
Before you start
- Your organisation needs its own Paymob account, connected by the owner in Settings → Payments (the Paymob card).
- The company's sections must include Invoices (see give a customer or supplier access).
- The person needs the Payer role (see roles).
Steps
What the payer does
- In the portal, they open Invoices, or the Invoice to pay line under Needs your action.
- They open the invoice. Under Pay online, Amount to pay shows what is still owed.
- To pay part of it, they change the amount. You can pay all of it or a part.
- They select Pay. Paymob's secure page opens, and they pay there with a card or wallet.
- They come back to the portal. Once Paymob confirms the payment, the invoice shows the new Still to pay.
What you see
- In Books, the invoice has a card receipt allocated to it for the amount paid.
- Nothing else to do, unless the payment could not be matched (see below).
Good to know
- Which invoices can be paid. Issued Books invoices with a balance, in the currency of your Paymob account. Drafts, quotes and credit notes cannot be paid.
- The amount must be above zero and not more than what is still owed. The balance is always read again from Books, never taken from the browser.
- Checked again before paying. Right before Paymob's page opens, Kluvan checks that the company's access is still on, the person still holds the payer role and the balance has not changed. A removed person, or an invoice paid another way in the meantime, closes the payment.
- Booked once. The receipt is recorded only on Paymob's confirmed approval, and only once, even if Paymob confirms more than once.
- When a payment cannot be matched, for example because the invoice was paid another way at the same time, it goes to your list of payments that were not matched and you are alerted. It is never put on another invoice by itself.
- Card details never reach Kluvan or your team; the person types them on Paymob's page.
- No account needed for a one-off payment: see send a link to pay one invoice.
- Early access. Test with Paymob's test keys before you rely on it.
