Send the credit book's reminders

Each day the credit book prepares the reminders that are due. E-mails go out on their own. WhatsApp reminders wait on Reminders to send, so a person sends each one from their own WhatsApp: one tap opens the message, ready to send.

Before you start

  • The credit book and Prepare reminders every day must be on (see switch on the credit book).
  • Use a phone or computer where WhatsApp is installed and signed in with your organisation's number.
  • Collections' own reminders have a separate WhatsApp list, on My collections today (see set up reminder sequences).

Steps

  1. Open Collections → Reminders to send. The To send tile shows how many reminders wait and how much they cover.
  2. Read the first card: the customer, the amount, the tone (Friendly, Firm or Final), since when it has been on the list, and the message itself.
  3. Select Send on WhatsApp. WhatsApp opens in a new tab with the message filled in, and the reminder is marked sent.
  4. Press send in WhatsApp.
  5. If you already sent it another way, select Sent already instead.
  6. If the customer asked for a few days, select Snooze 3 days.
  7. If the customer promised a date, open Promised to pay on…, pick the day, type an amount if they named one, and select Save.
  8. If this reminder should not go, select Skip.
  9. Move to the next card. When the list is empty you see Nothing to send right now.
  10. Scroll to Done today to see what was sent, by whom, and which e-mails went out on their own.

Good to know

  • WhatsApp is sent by hand. Kluvan opens WhatsApp with the message; it never sends WhatsApp messages for you. Send them one at a time.
  • Quiet hours. During your quiet hours the WhatsApp buttons wait and a note says when they come back.
  • Building the list now. A manager can select Build today's list now, for example on the first day, or when Prepare reminders every day is off and you still want today's list.
  • What stays on the list. Anything not done stays for up to two weeks, so a busy day is not lost.
  • One reminder at a time. A customer is reminded at most once a day by the credit book, and each reminder goes out only once, even if two people open the list together. If Collections' reminders are also on, the customer can hear from both; see the credit book and Collections.
  • A single customer. On a customer's account page, the Remind card shows the message they would get and a Send on WhatsApp button, if they have a phone number and do not have No reminders ticked.
  • The daily note. If you chose it in settings, you get one note a day, for example "8 reminders are ready to send today", by Telegram or e-mail.
  • See the credit book report for how many customers paid after a reminder.
