Share a Collections statement
The Collections statement shows a customer their open invoices, how late each one is, the ageing, their recent payments and how to pay you. Print it for a meeting, or send the customer their own link to open on a phone.
Before you start
- Your organisation needs a public address for the customer link. Set it in Settings → Online.
- Fill in How to pay (shown on statements and reminders) in Collections settings.
Steps
Print the statement
- Open the customer's case and select Statement at the top.
- Check the page: Total owed, Overdue and Disputed, the open invoices with Due, Days late and Open, the Ageing, Payments (last 3 months) and How to pay.
- Select Print. To keep a PDF, choose "Save as PDF" in the print window.
Send the customer their link
- On the case, under Statement, select Make the customer's statement link.
- Copy the link from the box and send it to the customer. The same link is shown at the bottom of the printed statement as The customer's own link:.
What the customer sees
The link opens Your statement in their language: what is open and how late, a disputed invoice marked on hold while we look into your query, and your payment details. With a Paymob connection there is a Pay now button for what is open (see send a payment link). Stop these e-mails turns off reminder e-mails, and Send me these e-mails again turns them back on.
Good to know
- The link is private. It is a long random code; search engines do not list it and too many attempts from one address are refused.
- Reminders carry it. Every Collections reminder includes the customer's statement link.
- When a customer stops the e-mails, the case's timeline says so and no more reminder e-mails go to them. WhatsApp reminders follow the case's own ticks (see work a customer's case).
- Account lines on the case shows every charge and payment on the customer's account, not only open invoices.
- The credit book has its own statement page and link: see share a statement from the credit book.
