Share a statement from the credit book

The credit book statement shows a customer what they still owe on their account, when each amount was due, what they have paid, and how to pay you. You can print it, or send a private link the customer opens on their own phone, in your organisation's look and their language.

Before you start

  • Your organisation needs a public address for statement links. Set it in Settings → Online, or at the bottom of Settings → Credit book.
  • Fill in How customers can pay you in Settings → Credit book, so the statement tells customers where to pay.
  • Working in the Collections workspace? Its statement lists open invoices by their own due dates; see share a Collections statement.

Steps

Print or save a statement

  1. Open Collections → Credit book and select the customer.
  2. Select Printable statement.
  3. Select Print. To keep a PDF, choose "Save as PDF" in the print window.
  4. Or select Excel or CSV to download the same lines.

Send a statement link

  1. On the customer's account page, find Statement link in the Remind card.
  2. Select Make a statement link. The link appears in a box.
  3. Copy the link and send it to the customer, or select Open to see what they will see.
  4. To stop the link, select Stop this link. It no longer opens anything.

What the customer sees

The link opens Your statement: the amount To pay and how much of it is overdue, the lines Still to pay with their due days, Payments received, thank you, and your payment details under How to pay. They can print it or save it as PDF. At the bottom, Stop the e-mails lets them turn off reminder e-mails, and turn them back on later.

Good to know

  • The link is private. It is a long random code; no phone number or customer number opens it. It shows no phone number or e-mail address, search engines do not list it, and too many attempts from one address are refused.
  • One link per customer. Making a link once is enough; reminders put the same link in the {link} placeholder. After you stop a link, you can make a new one.
  • Subscriptions on the statement. If the customer has subscriptions, the statement also lists them with their invoices; see the sign-up page and customer page.
  • When a customer stops the e-mails, their account history shows it, and no more reminder e-mails go to them. WhatsApp reminders can still appear on your list unless you tick No reminders for this customer.
  • Related: send the credit book's reminders.
