Manage your suppliers

The supplier list shows everyone you buy from, how often they deliver and what you owe them. Each supplier has an account page with their invoices, your payments and a running balance.

Before you start

  • You need the right Customers and suppliers to keep the list, and Expenses and supplier invoices to open a supplier's account.

Steps: add a supplier

  1. Open Procurement → Suppliers.
  2. Under Add a supplier, type the Name, the Phone and a Note if you want one.
  3. Select Add.

A supplier is also added when you type a New supplier while receiving or making a purchase order.

Steps: record an invoice or a payment

  1. On Procurement → Suppliers, select Account on the supplier's line. The page Invoices & payments opens with the Balance you owe.
  2. Under Add an invoice / Add a payment, choose the Kind: Invoice or Payment.
  3. Type the Amount and a Note, for example the supplier's invoice number.
  4. Select Save.
  5. Read the list of entries with the Running balance after each one. Select Print for a statement.

Steps: see the deliveries

  1. On Procurement → Suppliers, select Deliveries on the supplier's line.
  2. Read every delivery with its date, quantities, unit costs, expiry and who received it.

Good to know

  • Receiving a delivery or a purchase order adds the delivery's value to what you owe the supplier. A return of expired lots for credit lowers it.
  • Delete removes a supplier you added by mistake. Kluvan asks you to confirm first.
  • With Procurement switched on, the supplier's page also shows a Scorecard for the last 180 days: On time, Fill rate, Price vs orders and Damaged. The scorecard is worked out from your orders, delivery notes and invoices; treat it as a guide. See Check supplier ageing and scorecards.
  • To keep a supplier's price list on file, see Read a price list or invoice from a photo.
  • To order from a supplier, see Create and receive purchase orders.
