Send a transfer in transit

A transfer moves goods from one location to another. Inside a branch the goods arrive at once. Between branches set to travel, they leave when sent and arrive only when the other end counts them, so you always know what is on the way.

Before you start

  • Set up your locations: see Set up stock locations.
  • You need the right Inventory, receiving, stock-take. Settling discrepancies needs a manager.

Steps: create the transfer

  1. Open Warehouses → Transfers and go to New transfer.
  2. Pick From and To.
  3. Scan or type each product and its Qty. Add a Note if you want one.
  4. Select Request to let the sending end pick it later, or Send now to send it at once.

Steps: pick and dispatch

  1. At the sending end, open the transfer and select Pick by scanning.
  2. Scan each item: a product's barcode counts one unit, a pack's barcode a pack, a serial or batch number one unit. The lines are in shelf order by Bin / shelf.
  3. Select Dispatch. The goods leave the sending location; a line nobody picked goes as asked.
  4. Select Print the note and send it with the goods. The note has a QR code for the other end.

Steps: receive at the other end

  1. Scan the QR code on the note with a phone, or open the transfer and select Receive by scanning.
  2. Scan each unit that arrived. For a broken one, tick This one is damaged before Count it.
  3. Tick Nothing more is coming (what is missing is short) if the delivery is complete.
  4. Select Confirm the receipt. If everything came as sent, All arrived as sent does it in one step.

Steps: settle discrepancies

  1. Open the transfer. Discrepancies lists short, damaged and extra units with their value.
  2. A manager picks for each: Write off, Never left: back at the source, Keep in stock or Keep, take off the source.

Good to know

  • Only the good units go into stock when the receipt is confirmed. Short, damaged and extra units wait for a manager.
  • A receipt can come in parts; the transfer shows Partly received until everything is in.
  • Goods on the way are valued at the cost they left with.
  • A transfer still on its way after the days you set raises an owner alert, and so does a receipt with discrepancies.
  • Cancel the transfer stops a transfer that has not left yet.
  • A serial number can be scanned only once per transfer.
