Build an analytics dashboard
A dashboard is a saved choice of data sources and a number of days. Opening it shows the figures for that period at once.
Before you start
- Analytics must be on your plan and switched on. See Pick your apps.
- You need the right View Analytics and the Reports right. To save dashboards you need Manage Analytics.
- You see a source only if its app is switched on and you have the right to see it.
Steps
- Open Analytics. With several branches, choose the Branch and select Show.
- Set From and To.
- Under Data sources, tick the sources you want, for example sales and Services & Maintenance.
- Select Show. A card appears per source and record type, with the number of records and, where they apply, revenue excluding tax, billed, outstanding, refunds and overdue tickets.
- Open Daily activity to see the records day by day.
- Select Download CSV to save the figures.
- To keep this view, go to New · Dashboards, type a Title, tick the Data sources and type the Days to look back. Select Create record.
- Next time, open the dashboard from the list: it fills in the sources and the last days for you.

Good to know
- Sales come from Books invoices and credit notes once issued, online orders once delivered, and invoices issued by apps such as Projects and Subscriptions when Books is off. They follow the dates you choose.
- For the other sources, the cards count records created in the period, with their current status and balance.
- Billed and outstanding amounts appear only for people allowed to invoice in that app.
- A source you cannot see is left out and the page says some sources are unavailable. Automation run counts never reveal records from apps you cannot see.
- A report refuses more than 5,000 records of one kind rather than cutting them off silently. Choose a shorter period.
- A period covers at most 366 days, and your plan's history limit applies.
- In the CSV, amounts are in major units (for example 125.50) with a currency column.
- Use Edit to change a dashboard and Archive to put it away.
