Make a change order to an accepted proposal
When the customer asks for more, or for something different, after accepting, you do not rewrite the agreement. You send a change order: a new version of the proposal that the customer accepts like the first one, while the version they accepted before stays exactly as it was.
Before you start
- You need the rights Create and edit proposals and Send proposals to customers.
- The proposal must be Accepted.
Steps
- Open the accepted proposal.
- Select Change order. A new draft version opens with the note "This version is a change order to" the agreement, and that the accepted version stays as it was.
- Edit what changes: add Phases and Lines, change or remove Payment milestones that are not yet invoiced, and update the Terms.
- Select Save. What changed lists the differences from the accepted version.
- Send it as usual (see Send a proposal and get it approved). The approval rules apply to it too.
- The customer opens the same link and sees Change order with the version number, then accepts or declines it.

What the acceptance changes
- The agreement gets a new version with the new lines, terms, phases and milestone schedule; Versions on the agreement shows it as a change order.
- The project gets the new phases, and the agreement's What it created lists them.
- Milestones: new ones are scheduled, changed ones that are not yet invoiced take the new amounts, and removed ones are cancelled. Milestones already invoiced are not touched.
Good to know
- The accepted version stays frozen and visible, with its hash, in the proposal's Versions. Each change order has its own version and hash.
- If the customer declines, nothing changes on the agreement or the project.
- A change order is not a renewal. To continue an agreement for a new term, see Handle renewals and notice periods.
- To change only dates, value or terms of an agreement without asking the customer through a proposal, use Amend on the agreement (see Create and manage an agreement).
- Errors you may meet: ctr_state, ctr_milestones.
