Invoice the payment milestones of an agreement
When a customer accepts, Kluvan does the follow-up for you: it creates the agreement, the project with the phases of the scope, and the payment milestones. Each milestone becomes an invoice when it falls due, and Collections follows it up.
Before you start
- To make invoices: the right Manage agreements and their invoices.
- The project is created only when Projects is switched on and Create the project with the scope's phases is ticked in Contracts settings; milestones need Schedule the payment milestones.
Steps
See what the acceptance created
- Open the accepted proposal. Its header links to the new agreement, for example AGR-000045.
- Open the agreement. What it created lists the Project, its Phase items and any Deliverable, each Open or Done. The header links to the project.
- If something is missing after a connection problem, open the proposal and select Complete the follow-up. It adds only what is missing and never makes anything twice.
Invoice a milestone
- On the agreement, go to Payment milestones. Each shows when it is Due, its state and amount.
- A milestone On acceptance is Due at once; On a date becomes due on its day; When a phase is done becomes due when that project phase is finished. For a milestone When we say so, a phase milestone or a Retention release, select Due now when the time comes.
- On a Due milestone, select Make the invoice. The page says The invoice was made.
- The Invoice column shows its number, in Books or on the customer's account, and the total. The state becomes Invoiced.

Follow it from Today
- A milestone ready to invoice appears on Today and in Needs you on the Contracts page. Select Done when it is handled.
Good to know
- With Books switched on, the invoice is made in Books with the tax of the accepted lines. Without Books, the amount is charged to the customer's account. Either way, Collections chases it (see See who owes you).
- Billing stays in Contracts. The project's phases carry no milestone amounts of their own, so nothing is invoiced twice.
- The CRM deal a proposal came from is marked won when the customer accepts.
- Each milestone is invoiced once, even if the button is pressed twice.
- Not created from an acceptance: subscriptions, work orders and price agreements. Recurring lines are shown on the proposal but do not start a subscription.
- A terminated agreement cancels its scheduled milestones. To change milestones after acceptance, make a change order.
