Get a customer's acceptance or paper signature
The customer opens the link on their phone or computer, without signing in, reads the proposal in their language, ticks the options they want and answers. Kluvan records exactly what they agreed to, and says plainly what kind of agreement that is.
Before you start
- The proposal must be sent (see Send a proposal and get it approved).
Steps
What the customer sees and does
- The page shows your organisation, the proposal number and version, Prepared for, Valid until, the cover letter and the sections, then Scope and prices, the totals, the Payment milestones and the Terms. They can switch language at the top.
- They tick Add this option on the optional lines they want; the totals shown are without options.
- Under Acceptance, they type Your full name, and A note (optional) if they like.
- They select Accept or Decline. The page says Thank you. Your acceptance is recorded. or Thank you. Your answer is recorded.
- They can ask questions in Comments and keep a copy with Download the PDF.

Record a paper signature
For a proposal set to Signed on paper, the customer page asks them to print, sign and return it. When the signed copy comes back:
- Open the proposal. The card Signed on paper shows.
- Type Who signed and choose The signed scan (PDF or picture).
- Select Record the signature. The proposal is accepted and the scan is kept on the agreement.

Good to know
- What online acceptance is. Accepting online is an agreement with an audit trail, not an electronic signature. Kluvan records the typed name, the time, a fingerprint of the customer's address, the version's hash, the options ticked and the totals. The page and the PDF state this: "Accepted online with an audit trail".
- A qualified electronic signature needs a licensed signing provider, and none is connected today. In some countries, such as the UAE, Saudi Arabia and Egypt, the legal effect of an electronic signature depends on a licensed provider: ask your counsel which your contract needs, or use a paper signature.
- Only the version you sent last can be accepted, and only while it is open. A repeated click gives the same answer. After Valid until the page says This proposal has expired.; after Take back it says The sender took this proposal back.
- Customers in the portal. When the portal's Contracts section is granted to a customer, their proposals (with Open the proposal) and agreements are listed there too. See Give a customer access to the portal.
- The link is private: a long random code, not listed by search engines, with too many attempts refused.
- Next: Invoice the payment milestones of an agreement.
