Create and manage an agreement

An agreement is the contract you live with: its terms, start and end, notice period, value and the signed copy. Agreements come from accepted proposals, and you can also record one directly, for a supplier, a rental or an employee offer.

Before you start

  • To see agreements: See agreements. To create and change them: Manage agreements and their invoices. To end one early: Terminate agreements.

Steps

Record an agreement directly

  1. Open Contracts and go to New agreement below the list.
  2. Pick the Kind: Customer agreement, Supplier agreement, Employee offer, Maintenance contract, Retainer, Rental agreement or Other.
  3. Type the Title. Pick the Customer, or type the Other party (when not a customer).
  4. Fill in Start, End or Term (months), the Notice period (days), the Value and Renews automatically.
  5. Write the Terms and select Create. The agreement opens in Draft.
  6. Select Start the agreement to make it Active.

Work with an agreement

  1. Open Contracts → Agreements and pick a view: All, Active, Renewing in 90 days, In notice, Expired, Drafts or Ended.
  2. Open an agreement. The tiles show Start, End, Last day for notice, Value, Renews automatically and the Version.
  3. Under What it created, type A deliverable with its Due date and select Add. Select Done when it is delivered.
  4. Under Files, choose the file in Upload the signed copy and select Store. The Signed copy link then opens it.
  5. Select PDF to download the agreement.

Amend it

  1. Open Amend.
  2. Type the Reason, then change the End, Notice period (days), Value, Renews automatically or Terms.
  3. Select Save as a new version. Versions lists each version with what happened, the reason, who and when.

Terminate it

  1. Open Terminate, type the Reason and select Terminate. The agreement shows Terminated, and its payment milestones that were not yet invoiced are cancelled.

Good to know

  • Each version is frozen with its own hash, so you can show which terms applied at any date.
  • The signed copy is encrypted and every opening is recorded. It stays on the agreement; it is not listed in the Documents library.
  • Accepted proposals show the customer's name, the time, how they agreed and the hash in a green line at the top.
  • On a customer's record, the Linked across apps section has a Contracts group with their proposals and agreements, for example "renews in 78 days" or "in notice".
  • Errors you may meet: ctr_state.
  • Related: Handle renewals and notice periods.
