Create an event and its ticket types

An event starts as a draft that nobody else sees. You give it a time and a place, then one or more ticket types, each with its own price, VAT and number of seats.

Before you start

  • You need the right Run events (edit, publish, attendees, waitlist, guests).

Steps

  1. Open Events, or choose New → Event.
  2. Under New event, type the Title, the Venue, Starts and Ends. For an online event, type the Online link (it must start with https://) instead of a venue.
  3. Check the first Ticket type (it starts as General admission), its Price (0 for free) and its Capacity.
  4. Select Create the draft. The event opens with the message Event created as a draft.
  5. Under Edit the event, add the Title in Arabic, the Address, the Description and the Description in Arabic if you need them.
  6. Set Sales open and Sales close if registration should open or close at a given time. Leave them empty to sell until the event.
  7. Under Ticket types, fill in New ticket type to add one: a name (and Ticket type in Arabic), Price, Capacity, Most per order and What it includes.
  8. Tick VAT applies on each type that carries VAT.
  9. Select Save.
  10. When everything is right, select Publish. See Share the registration page.

Good to know

  • Times are your organisation's local time. An event can last up to 31 days.
  • VAT uses your organisation's own rate and whether your prices include it or add it. Kluvan never assumes a rate.
  • Free or paid. A type with price 0 is free. Paid types need a payment provider and are in early access: see Sell paid tickets.
  • Seats are exact. Each type counts what is sold and what is held during a payment. Even when many people register at once, no type ever sells more than its capacity.
  • After sales start: a type with tickets cannot be removed (tick Off sale instead) and its capacity cannot go below what is taken. A new price applies to new orders only.
  • Publishing needs at least one type on sale, and an end that is not in the past.
  • The event list has views Upcoming, Past, Drafts and All, with Sold and Checked in for each event.
