Check people in at the door

At the door, staff check tickets on a phone. Each ticket lets one person in once: a second scan shows when and by whom it was already used.

Before you start

  • You need the right Check people in at the door. It can be given to people on field and restricted seats, so door staff need no full seat. See Seats.
  • Door staff sign in to Kluvan on their phone's browser before the doors open.

Steps

  1. On the phone, open Events → Check-in. Today's events are listed as tabs, each with the number already checked in.
  2. Pick the event.
  3. Scan the ticket's QR code with the phone's camera. The phone opens the ticket in Kluvan.
  4. Or type the Door code printed under the QR code and select Find the ticket.
  5. Read the answer:
    • Valid ticket, with the holder's name, the ticket type and the code: select Check in. The answer becomes Checked in.
    • Already checked in, with In at a time by the person who checked it.
    • Not let in, with the reason: Ticket cancelled, Ticket refunded, Unknown code, The event is cancelled or Not this event's time.
  6. Scan the next ticket.

Good to know

  • The door window opens 6 hours before the event starts and closes 6 hours after it ends. Outside it, tickets are refused with Not this event's time.
  • No event now? The page says No event to check in for right now.
  • Codes have 8 characters without look-alike letters, so they are easy to type.
  • Two phones at once cannot let the same ticket in twice.
  • Someone lost their e-mail? Find them on the Attendees list by name, e-mail or phone, read their door code there, or select Send again. See Manage attendees.
  • After the event, the event report counts who came and the no-shows. See Read event reports.
