Cancel an event
When an event cannot go ahead, cancel it in Kluvan. Registration stops, tickets no longer open the door and attendees are told by e-mail.
Before you start
- You need the right Run events (edit, publish, attendees, waitlist, guests).
- To refund paid orders afterwards you need Refund tickets and see event revenue.
Steps
- Open Events and select the event.
- Type the Reason (optional) next to the cancel button.
- Select Cancel the event. The message says The event is cancelled. Paid orders wait for a refund on the attendee list.
- Open Attendees and check the orders.
- Refund each paid order. See Refund a paid order.

To cancel one order instead of the whole event, open Attendees and select Cancel on the order. This works for free orders and orders still waiting for payment; the seats are free again.
Good to know
- Attendees are told. Each person gets an e-mail saying their tickets are cancelled and that, if they paid, the organiser will refund them.
- Kluvan never refunds by itself. Cancelling an event does not send money back. Today lists the paid orders to refund until finance has handled each one.
- At the door, a ticket of a cancelled event is refused with The event is cancelled.
- The public page says This event is cancelled.
- A cancelled event stays in your list and reports; nothing is deleted.
- Stop sales instead. To pause registration without cancelling, use Stop sales and Reopen sales. See Share the registration page.
