Switch on Events and choose its settings

Events settings decide how every event of your organisation behaves: how long a seat waits for a payment, when attendees get reminders, how freed seats go to the waitlist, and what attendees read about refunds.

Before you start

  • Events comes with Kluvan One. Customers must be on first; the page says Switch Customers on first. if it is not.
  • You need to be an owner or a manager to switch Events on. See Pick your apps.
  • Give your team the rights they need in Roles and rights: Run events (edit, publish, attendees, waitlist, guests), Check people in at the door, and Refund tickets and see event revenue.

Steps

  1. Switch on Events in Settings → Apps, or open Events settings, tick Events is on and select Save.
  2. Under Registrations, type the Minutes the seats are held while someone pays (5 to 120; 30 is the default).
  3. Type the Reminder e-mails, hours before the start, separated by commas, for example 48, 2. The default is 24.
  4. Type the Hours a waitlist offer holds the seats (1 to 168; 24 is the default).
  5. Tick Offer freed seats to the waitlist by themselves if you want Kluvan to make the offers. Clear it to offer seats by hand.
  6. Tick Ask for the marketing consent on the form to show the news box on the registration page.
  7. Type your Refund policy (shown on the page and in the tickets e-mail).
  8. Select Save.

Good to know

  • Attendees become contacts of your organisation. They appear in CRM only when they tick the marketing consent box.
  • Payments go straight to your organisation's own payment provider; Kluvan never holds the money. A paid ticket exists only once the provider confirms the payment. Paid tickets are in early access: see Sell paid tickets.
  • Reminders go once per mark: two reminders are never sent for the same hour.
  • Team notices. The team hears when a ticket type sells out, when someone joins a waitlist and when a late payment waits for a refund.
  • The door is open for check-in from 6 hours before an event starts until 6 hours after it ends.
  • Switching Events off hides its pages. Nothing is deleted.
  • Next: create an event.
