Give your accountant the payroll figures

Payroll keeps its own figures. It does not post salaries, insurance or tax into Books, so each month you give the figures to your accountant, or record the totals yourself.

Before you start

Steps

  1. Open the final run from HR → Payroll and go to Files.
  2. Download Payroll as Excel or CSV: every person's earnings, deductions and net pay.
  3. Download the Statutory register: gross pay, insurance shares, tax and employer's cost per person.
  4. For a view across months, open HR → HR reports and download Payroll cost by branch and month as Excel or CSV.
  5. Send the files to your accountant, or post the totals in Books yourself as a manual journal entry: salaries expense, employer's contributions, insurance and tax owed, advances taken back, and the net pay paid from the bank.

Good to know

  • Payroll does not post into Books today. Nothing from a run reaches your ledger by itself, whatever you choose on the rule tables page.
  • Ask your accountant which accounts to use for each payroll total, and post on the pay date of the run.
  • Advances and loan repayments are kept in each person's staff ledger, which you can open from Staff, so you can match what is owed.
  • The insurance and tax figures come from your country's rule tables and are to be checked by your accountant. See Egypt payroll and UAE payroll.
  • The register is a plain export of the figures, not an official form, and nothing is filed with any authority.
  • Each person can download their own annual statement from their HR page, as Excel or CSV.
