Set up pay for each person

Payroll reads each person's pay from their employee file. Fill this in once per person and update it when pay changes.

Before you start

  • Your organisation has the Payroll app. See Pick your apps.
  • You need Salaries and payroll. Without it the Salary and bank section does not appear at all.

Steps

  1. Open HR → People and select Open file on the person's card.
  2. Go to Salary and bank.
  3. Choose Paid as: Monthly salary, Weekly wage, Daily wage, Hourly rate or Piece rate.
  4. Fill in the pay for that basis:
    • monthly: the Basic salary, Housing allowance, Transport allowance and Other allowances;
    • weekly: the week's amount in Basic salary;
    • daily: the Daily wage;
    • hourly: the Hourly rate;
    • piece rate: the Rate per unit.
  5. Choose Paid by: Bank transfer, Cash, or Part cash, part bank. For the last one, type the amount Paid in cash each run.
  6. For bank payments, type the Bank, IBAN and Account number.
  7. Pick the Insurance scheme, or leave not insured here.
  8. Select Save.

Add an allowance or a deduction

  1. In Allowances and deductions on the same file, type a Label, for example "Phone allowance".
  2. Choose the Kind: Allowance or Deduction.
  3. Type an Amount, or a % of the basic.
  4. Set From and To dates, or tick Once for a one-off.
  5. Untick Taxable or Insurable if it should not count for tax or insurance.
  6. Select Add.

Good to know

  • The section is private: only the owner and users with Salaries and payroll see it, and every look is written to the activity log.
  • A one-off item is paid by the next run that covers its date and then marked taken.
  • The insurance schemes and the tax options come from your country's rule tables. See Egypt payroll and UAE payroll. UAE organisations also fill in the WPS fields here.
  • Advances still owed show on the file under Advances still owed, with how much payroll takes back each run. See Give loans and salary advances.
  • Hourly, daily and piece-rate pay depend on the timesheet or the units you enter on the run. See Set work rules and approve timesheets.
  • The Personal e-mail and Personal phone on the file are where payslips are sent.
  • Next: Choose your payroll rules.
