Download bank and cash salary sheets

A final run gives you the files you need to pay salaries and keep a record: what each person gets, by bank or in cash.

Before you start

Steps

  1. Open the final run from HR → Payroll.
  2. Go to Files.
  3. Download what you need:
    • Payroll (Excel or CSV): every person's figures for the run;
    • Bank transfer sheet (Excel or CSV): name, bank, IBAN, account, pay method and net pay for each bank-paid person;
    • Cash payroll sheet (Excel): the cash amounts with a column for each person's signature, shown when anyone is paid in cash;
    • Statutory register (Excel or CSV): per person the gross pay, insurable wage, insurance shares, taxable pay, tax, employer's cost and net pay.
  4. Give the bank transfer sheet to your bank, or type the payments into your online banking from it.

Country bank files

Some countries' banks take a salary file in their own format. Those files are on the same Files section and are explained in the regional guides:

  • UAE: the WPS salary file (SIF) for the Wage Protection System, and a non-WPS bulk transfer file. See UAE payroll.
  • Egypt: a bank file for a bulk transfer with Egyptian IBANs. See Egypt payroll.

Good to know

  • No bank has yet accepted a file made by Kluvan. Before your first live payroll, send a test file to your bank and ask them to confirm it.
  • For people paid Part cash, part bank, the bank sheet carries only the bank part and the cash sheet only the cash part.
  • The bank transfer sheet works for any country; it is a plain list, not a bank's own upload format.
  • The statutory register is a plain export of the figures, not an official form, and nothing is filed with any authority. Its figures are to be checked by your accountant.
  • Downloading a bank file is written to the activity log.
  • The payroll summary is also the file to give your accountant. See Give your accountant the payroll figures.
