Read a job's margin

The Margin card on a job page shows what the job really earned, line by line, with the records behind each figure. It updates as the crew records time and materials and as the office approves extras, adds costs and invoices.

Before you start

  • You need the right See job costs and margins. Managers have it; it can never be given to a field seat.

Steps

  1. Open the job page from My jobs, To review or Job profitability.
  2. Read the Margin card: the price basis, the margin amount and its share of revenue on top.
  3. Open Details (n) under a line to see its records, for example each time entry with its minutes × cost per hour.
  4. To add a subcontractor or an expense, open Add a cost, choose the Kind (Subcontractor, Expense or Other), type the Amount and What for, and select Add a cost.
  5. If this job redoes an earlier one, open Rework in the Office card, choose the job under Rework of, the Reason (Workmanship, Faulty parts or Customer misuse), tick Charge the customer for this rework if they pay, and select Mark as rework.

How the margin is calculated

LineWhat it is
+ Agreed revenueThe quote on a fixed price; on time and materials, the order's lines plus work time at the labour rate and materials at their price; nothing on a contract or warranty job
+ Approved changesApproved billable extras and change orders
− Credit notesWhat a credit note took back of the job's invoice
− LabourEvery time entry: minutes × the person's cost per hour when it was recorded
− MaterialsChecked and consumed materials at cost
− Subcontractors and expensesThe costs the office added
− ReworkThe cost of later rework jobs that are not charged to the customer
= Margin

Below the margin: Changes waiting for approval (not counted yet), Invoiced (net), Collected (net) (the net share of what the customer paid) and Cash margin (collected minus the same costs).

Good to know

  • The cost per hour comes from HR pay, else the staff record's salary, else the person's rate in Field work settings, else the Projects rate. A later pay change does not change past entries.
  • A rework that is not charged has no revenue of its own: its cost moves to the original job, and totals count it once. Tick it chargeable later and the original job's margin comes back.
  • Every line adds up to its records to the smallest unit of your currency.
  • People without the cost right see only the revenue lines (agreed revenue and approved changes) if they may see prices.
  • Up to 30 other costs and 20 reworks per job.
