Assign jobs on the dispatch board and plan them

The dispatch board shows who is doing what: each technician's jobs by day or week, the approved work orders nobody has yet, and the jobs running late. From a job page you then plan the details the crew needs.

Before you start

  • You need the right Manage Services & Maintenance.
  • A work order appears under Not assigned yet once it is Approved. See Create a work order and quote.

Steps

To assign a job:

  1. Open Field jobs → Dispatch board.
  2. Choose Day or Week, and move with ‹ and ›.
  3. Read the Technicians table: each cell lists that person's jobs with their times. A banner names the late jobs.
  4. Under Not assigned yet, find the order and select Assign.
  5. Choose the Technician, the From and To times, and select Assign.

To plan a job:

  1. Open the job page and, in the Office card, open Plan the job.
  2. Choose the Price basis: Fixed price, Time and materials, Under contract or plan (no charge) or Warranty (no charge).
  3. Type or pick the Job type and choose a Checklist template (or Keep the current checklist).
  4. Type the Project number if the job belongs to a project (optional).
  5. Type the Site latitude and Site longitude if you want the location band on taps and acceptance (optional).
  6. Tick the Crew members who work with the assigned technician.
  7. Select Save.

Good to know

  • Assign uses the same checks as Schedule technician: the technician's calendar and availability are checked and a clash is refused.
  • Crew members see the job in their My jobs and tap for themselves. Up to 10 people per crew.
  • Time and materials charges the work time at the labour rate and the materials at their price on top of the order's lines. Contract and warranty jobs charge nothing for the job itself; extras are still charged.
  • A job linked to a project shows in the project's Linked records, with its margin for people who see costs.
  • There is no drag and drop on the board. The board and the customer links read at most 3,000 orders per branch.
