Schedule, approve and publish a post

Early access

This feature is in early access: it is built and tested, but not yet switched on for every organisation or not yet tried with the outside provider. Ask us on WhatsApp if you would like to try it.

A post goes from draft to approved to scheduled to published. Writers send posts for approval; publishers approve, schedule or publish. Each account receives the post once, even if something goes wrong in between.

Important. Social is in early access: publishing needs connected accounts, and connecting needs Kluvan's approval by Meta and LinkedIn, not granted yet.

Before you start

  • Writers need Write social posts and send them for approval. Publishers need Approve, schedule and publish social posts.

Steps

If you write posts

  1. Open the post and set Publish at to the time you want, or leave it empty to publish as soon as it is approved.
  2. Select Send for approval. The message Sent for approval. appears and the post shows Waiting for approval.
  3. If the approver sends it back, Today tells you, and the post shows Sent back with the approver's note. Change it and send it again.

If you approve or publish

  1. Open the request from Approvals or from the post's Open the approval link, and approve or reject it with a note.
  2. An approved post becomes Scheduled.
  3. For your own posts, select Schedule to put a post on the calendar at its Publish at time, or Publish now.
  4. Select Back to draft to take a scheduled post off the calendar, or Cancel post to drop it.

Following the publish

Under On each platform, each account shows Waiting, Sending, Checking with the platform, Published or Failed. The post itself shows Publishing, Published, Partly published or Failed. On a failed or partly published post, select Try again.

Good to know

  • The writer never approves their own post. With Every post needs a second person's approval on, publishers need a second person too. See Switch on Social.
  • A changed post needs a new approval. The approval covers the texts, pictures, accounts and time.
  • Times are your organisation's, up to 180 days ahead.
  • Once per account. If a platform does not answer, Kluvan first asks it whether the post arrived before sending again. Attempts repeat after 1, 5, 15 and 60 minutes. A refused sign-in stops at once and the account shows Sign in again.
  • Today lists posts that failed or went out partly, posts sent back to you, and posts going out today.
  • Related: Plan with the calendar.
