Connect Bookings to other systems

Connections let another system work with your bookings, let team members see their visits in their own calendar app, and tell your systems when a booking changes.

Before you start

  • Only the owner, with the right Set up bookings, can create and revoke connections.

Steps

To create an API key:

  1. Open Bookings → View → Connections.
  2. Under API keys, type a Name and the Validity in days (1 to 730).
  3. Tick what the key may do: view, manage or reports.
  4. Create the key and copy the secret at once. It is shown only once.

To give a team member a calendar subscription:

  1. Under Team calendar subscription, type a Name and choose the team member.
  2. Create the link and copy the address shown.
  3. Add it as a subscribed calendar in their calendar app.

To add a webhook:

  1. Under Webhooks, type the HTTPS URL of your receiver and select Add.
  2. Copy the signing secret shown once, and give it to whoever runs the receiver.

Good to know

  • Copy this secret now: anyone holding a key has the access you selected. Select Revoke to stop a key, a calendar link or a webhook.
  • A key works for one branch and can view, create, move and change the status of bookings and read reports. It cannot change settings, customers, imports or other keys.
  • Up to 50 keys and calendar links can be active at once.
  • The calendar subscription shows that team member's booking numbers and times for the last 30 and next 90 days, without customer names, phones or notes.
  • Webhooks are sent when a booking is created, changed, cancelled or checked out. They carry the booking's number, times and status but no customer details, and are signed with your secret so the receiver can check they came from Kluvan.
  • Only public HTTPS addresses on port 443 are accepted.
  • A webhook that keeps failing is retried up to eight times, then shows Delivery stopped after repeated failures with a Retry button.
  • The connections have been tested with test receivers only, not with a live outside system. Test your receiver before you rely on it.
