Check out a booking with a Books invoice

A visit is finished by checking it out against a Books invoice. The invoice is the customer's bill for the services; the booking only records which invoice paid it.

Before you start

  • Books must be switched on. Without Books, a visit cannot be checked out; the rest of Bookings keeps working.
  • You need the right Manage bookings, and the Books right Manage sales documents and payments to issue the invoice.
  • The visit must be In service.

Steps

  1. Open the booking. The Check out section lists the services and prices for each team member.
  2. In Books, issue an invoice to the same customer with those services on it. Each booking service is also a product, under the same name, that you can put on the invoice; use the prices shown in Check out. Note the invoice number, for example INV-000123.
  3. Back on the booking, type the invoice number in the number box under Check out. If the visit had several team members, type one invoice number per team member, in the order shown.
  4. Select Check out. The visit moves to Done.

Good to know

  • Kluvan accepts the invoice only if it is issued, is for the same customer, and includes every service of the visit, at least in the quantities booked. You may add other items to the invoice.
  • An invoice can check out one booking only.
  • If you check out the same booking again with the same numbers, nothing changes.
  • The hint under the number box is out of date: type the Books invoice number.
  • Kluvan does not take card payments for bookings. The booking page can show your Deposit payment instructions instead. See Set up Bookings.
  • Revenue in booking reports counts visits that were checked out.
