Set customer prices and salespeople
Customer price lists decide which price Books suggests when you add a catalogue item to a quote, order or invoice for that customer. Salespeople let you see who brought in each sale.
Before you start
- You need the Books right Manage sales documents and payments to change prices or assign a salesperson.
- Item prices come from your catalogue in Inventory.
Set a customer's prices
- Open Books → Customer price lists.
- Choose the customer and select Show.
- Under Default product price, choose Customer setting, Retail price, Wholesale price or Offer price, and select Save.
- To give one item its own price, go to Add customer price, choose the item, type the Unit price and select Add customer price.
- To stop using an item price, clear Active on it and select Save.

When you add an item to a draft with Add item, keep Price level on Customer price lists to use these prices, or choose a price level to override them.
Assign a salesperson
- Open a draft quote, order, delivery note, invoice or credit note.
- Choose a person in Salesperson.
- Select Save · Draft.
Good to know
- Customer setting follows the customer's retail or wholesale setting. A missing wholesale or offer price falls back to the retail price. An item price of zero is allowed.
- Prices are in your base currency. On a document in another currency, Books converts the price at the document's rate. Whether the price includes VAT depends on the document's Prices include VAT box.
- A customer price applies only when you add an item. It never changes lines already saved, copies, conversions or recurring invoices.
- If an item's unit changed since you set its price, Books asks you to review the price before using it again.
- Customer price lists are not shown on the customer's link.
- The salesperson is an internal note: it does not appear on the customer's link and does not calculate commission. Copies, conversions and recurring invoices keep it, and it stays on issued documents when the person leaves.
- Only active team members can be chosen. See Invite your team.
- See sales per salesperson in Books → Business activity, report Sales by salesperson: see Run financial reports.
