Manage bank and cash accounts

Banking and cash shows each bank and cash account with its balance. From here you record money moving between your own accounts, card payouts from your provider, and the cheques you issue and receive.

Before you start

  • You need the Books right Manage banking to record anything; View Books and reports is enough to look.
  • Bank and cash accounts are created in Set up Books, step Cash and bank accounts.

See your balances

  1. Open Books → Banking and cash.
  2. Choose the Month and select Show. Each card shows the balance through that month.
  3. From a card, open its General ledger, its Bank statement or its Bank reconciliation. Select Edit to change the bank name, number, IBAN or Active box.

Connect a bank feed

Bank feeds are available when your administrator configures Lean for supported UAE banks. If the page says feeds are not configured, use statement upload instead.

  1. Open Bank feeds and confirm read-only account and transaction access.
  2. Select Connect or renew bank access, then Continue to bank consent. Choose your bank and approve access on the bank's consent screen.
  3. Select Refresh connected bank accounts, choose the matching bank ledger account and the first date to import, then select Link to this ledger account. The bank account must use your organization's base currency. Dates already reconciled are excluded.
  4. Kluvan refreshes the bank twice daily. Sync now checks the latest available data; the bank may need time to finish refreshing.
  5. Open Bank statement to match the imported lines and reconcile them. Pending bank transactions do not enter matching until posted. Importing does not create ledger entries or move money.

If consent expires or is revoked, connect again, refresh the account list, and select the same bank account. Disconnect bank revokes the whole bank connection, including its other linked accounts, while retaining imported statement history. If disconnect is pending, retry to finish revoking access.

Record a transfer or card settlement

  1. Select Transfers and settlements.
  2. In Type, choose Transfer between own accounts or Card settlement.
  3. Set the Date, From account, To account and Amount.
  4. For a card settlement, enter the gross amount in Amount and the provider's charge in Bank fee. The receiving account gets the difference.
  5. Add a Reference and Description, then select Post entry.

Register a cheque

  1. Select Cheques, choose the bank Account and Month, and select Show.
  2. In General ledger, choose the bank entry the cheque belongs to, for example a supplier payment by cheque.
  3. Type the cheque number in Reference, the Payer or payee and the Due date, and select Save.
  4. When the cheque clears, set the Date on its card and select Mark cleared.

Good to know

  • Bank and cash accounts are in your base currency only.
  • Transfers carry no fee. Neither a transfer nor a card settlement changes any customer's or supplier's balance.
  • A cheque is linked to money already recorded. Registering or clearing it does not post the money again.
  • Positive amounts are Received cheque, negative ones Issued cheque. There is no action for a bounced cheque, and clearing a cheque does not clear it in a reconciliation: do that in Match bank lines and reconcile.
  • Petty cash is a separate cash account; fill it with a transfer.
  • Bank feeds read account and transaction data only after you approve bank consent. Books never moves real money.
