Use the Books overview

The Books overview is the first page of Books. The top shows your figures for a period you choose; the lower part shows what is happening today and what needs doing.

Before you start

  • You need View Books and reports and access to every branch. Each to-do group shows only to people with the right for it.

Steps

  1. Open Books → Overview.
  2. Choose From, Through and a Branch, and select Show. The cards show Cash and bank, Profit, Customers owe, Owed to suppliers and VAT account balance, with a 12-month profit chart and the Largest expenses.
  3. Under Current obligations, read what customers owe and how much is Overdue, what you owe and what is Overdue and due in 7 days, and the VAT estimate for the current return period.
  4. Under To do, work through the lists:
    • Invoices to send: open an invoice and send it. If you sent it from another app, use Record as sent on the invoice.
    • Bills to pay: open a bill and pay it.
    • Statement lines to match: open the account and match its bank lines.
    • Earlier periods to close: open the month-close checklist.
  5. The first time, select Prepare invoice list so older invoices appear in Invoices to send.

Good to know

  • Current obligations always shows today's figures for the whole business, whatever period or branch you chose at the top.
  • Amounts owed are before unallocated credit. See the credit in Unpaid invoices by age (who owes us) and What I owe by due date (what we owe).
  • Money customers owe from outside Books invoices has no due date here, so it is never shown as overdue.
  • The VAT estimate is for the current return period only, and is prepared for your accountant. If figures need review, the card says so. The VAT account balance card is the ledger balance, which is not the same thing. VAT returns: Egypt, UAE.
  • Opening a WhatsApp message does not count as sending. An invoice leaves Invoices to send when it is e-mailed or recorded as sent.
  • The profit figures include only posted entries.
