Fill in a form and review submissions
Your team fills in published forms inside Kluvan. Each submission keeps the exact questions and answers of that moment, and a reviewer accepts or rejects it.
Before you start
- To fill in forms you need the right Manage Forms.
- To accept or reject, you need Review form submissions.
- The form must be published. See Create and publish a form.
Steps
To fill in a form:
- Open Forms and select the Submissions tab.
- Choose the Form and select Fill in form. You can also open a published form and select Fill in form there.
- Choose a Customer if the submission is about one (optional).
- Answer each question. Required ones must be filled in.
- Select Create record. The submission shows Submitted.

To review a submission:
- Open the submission from the Submissions list.
- Read the Submitted answers.
- Open Accept submission, add a note if you want, and select it. Or open Reject, type the reason in Details and select Reject.
Good to know
- Answers are checked against the field type: a number must be a number, a date a date, an e-mail a valid address, and a choice one of the options.
- Each answer can be up to 500 characters, or 4,000 for long text.
- A rejection needs a reason. An accepted or rejected submission records who reviewed it and when.
- Add note keeps comments under Notes and activity, before or after the review.
- Submissions keep the version they were made with, even after the form changes.
- An automation can create a support ticket or a work order when a submission is created or accepted. See Create an automation.
- Analytics can count submissions by status over a period. See Build an analytics dashboard.
