Publish and roll back the Front Desk's set-up
How the Front Desk books appointments and hands customers over is kept in set-up versions. Each version is checked before it is published, and you can go back to an earlier one at any time. Until you publish one, the platform's safe limits apply.
Before you start
- You need Set up the Front Desk (its rules, channels and holds) to save a version, and Publish the Front Desk's set-up and knowledge to publish one.
- The set-up is written as JSON. Ask us on WhatsApp if you want help with it.
Steps
- Open the Knowledge page (press Ctrl+K, type "knows") and scroll to Set-up versions.
- Under New set-up version (JSON), paste the set-up in Appointment set-up (JSON), type the Reason for the change and select Save as draft.
- Select Check. The state goes to Checking, then Ready or Has errors.
- If the version shows Still to confirm: …, record each check: pick the Requirement (for example "hand-over to a person tested"), type the Reference of the check and select Record.
- Select Publish. The version shows Published and In use; the one before becomes Earlier version.

Go back to an earlier version
Select Go back to this version on an earlier version and confirm. It is published again at once. Nothing already done (a booking, a message) is undone.
Ask for an approval before publishing
- Tick Publishing a set-up version needs an approval and select Save.
- From now on, Send for approval replaces Publish. The version shows Awaiting approval with Open the approval.
- Another person who may publish approves it in Approvals. It is published as soon as they approve.
- You cannot approve your own request.
- Not approved: … shows the reason; change the version and send it again.
- If another version is published meanwhile, the request closes: "The approval was closed because another set-up version was published in the meantime. Send it again if you still want it."
- Switching the approval off sends waiting versions back to Ready; nothing is published by it.
Good to know
- Platform limits always apply, whatever the set-up says: a time is held for at most two minutes, the Front Desk never books without the customer's confirmation, and it never writes anything for a visitor it does not know.
- A version with errors cannot be published (fd_release_invalid); one with checks missing answers fd_release_evidence.
- An earlier version made for another release of the Front Desk may not be restorable (fd_release_incompatible).
