Add rental items
Each rental item is one physical piece of equipment with its own serial number, so you always know which unit is where and in what state.
Before you start
- Switch on Rentals for your organisation: see Pick your apps. It needs customers.
- You need Manage Rentals. See Roles and rights.
Steps: add an item
- Open Rentals and select the Rental items tab.
- Type a Title, for example "Concrete mixer 140 L".
- Type the Serial number.
- Describe the Condition (scratches, missing parts, hours used).
- Type the Daily rate and the Security deposit.
- Select Create record. The item is Available.

Steps: block an item for maintenance
- Open the item and open Maintenance.
- Describe what needs fixing and select Maintenance. The item cannot be reserved or handed over while it is in maintenance.
- When it is fixed, open Available, describe its condition and select Available.
Good to know
- A serial number can be registered only once. If you hire out three identical mixers, add three items, each with its own serial number, so each can be booked on its own.
- The daily rate and the deposit are copied onto each reservation when it is made, together with the item's condition at that time.
- An item returned with a damage charge goes into maintenance by itself, so it is checked before the next hire.
- The item's page lists its reservations with start, end and whether it is on hire.
- Archive retires an item you no longer hire out; its history stays.
- Add note keeps a running service and condition history on the item.
- Next: Reserve, hand over and take back an item.
