Issue a commission statement

A commission statement tells a reseller what it earned on the money you collected for its sales and its customers' sales. Kluvan works it out and keeps the history; it never pays anyone. You pay the reseller your usual way, then mark the statement paid.

Before you start

  • You need the Resellers: commission statements right.
  • Statements count Books invoices with their payments, credit notes and refunds, and Trade orders. At least one of Books or Trade must be in use.
  • For a Books bill, the reseller needs a Supplier record for bills in its details (see add a reseller).

Steps

  1. Open Resellers and select the reseller. Today also says when last month's statements are ready to issue.
  2. Under Commission statements, select Statement for … (the next month to issue).
  3. Read the tiles: Collected after tax, Commission to date, In earlier statements and This statement.
  4. Check Sales in this statement: each invoice or Trade order, its customer, what was collected and the commission on this statement.
  5. Tick Also make a Books draft bill if your accountant pays commission through Books.
  6. Select Issue the statement. The statement shows Issued, with the date and your name.
  7. After you pay the reseller, type How it was paid (optional) and select Mark paid.

Good to know

  • Money collected, not invoiced. Commission is on what was paid, after tax, credit notes and refunds. A bounced cheque or a reversed payment lowers it again.
  • Each statement counts what is new since the last issued one. A return or refund after a statement gives a negative line next time, and the statement can be less than zero.
  • Month by month, in order. A month can be issued from the 1st of the next month, and only after the month before.
  • Issuing freezes the lines. Later payments, returns and refunds show on the next statement.
  • The Books bill is a draft on the expense account named commission (or the first expense account), outside the scope of tax, for your accountant to review. Withholding tax, where it applies, is handled when the bill is paid in Books.
  • Withdraw the latest issued statement if it was wrong and is neither paid nor billed. It stays, marked Withdrawn, and the month can be issued again. If it has a Books bill, withdraw the bill in Books first.
  • The reseller's payer and admin see issued statements in their portal view.
