Accept or reject reseller orders

Resellers send orders from their own view in the Portal, for themselves or for one of their customers. Each order waits for you: accept it and, with Books, it becomes a draft sales order ready for delivery and invoicing; or reject it with a reason the reseller can read.

Before you start

• You need the Resellers: manage resellers, orders and leads right.
• Books turns accepted orders into sales orders. Without Books you can still accept and reject, and record the sale your own way.

Steps

1. Open Resellers → Orders. The Waiting tab opens first; Today also lists orders waiting, those over the credit limit first.
2. Read each order: its number and date, how it came in (from its portal or by your team), the Reseller, For (the reseller itself, or a customer marked For a sub-customer), the Lines and the Amount.
3. Look for the Over the credit limit mark. It means this order takes the reseller past its limit.
4. To accept, select Accept. The order moves to Accepted and a Books order link appears.
5. To reject, type a Reason and select Reject. The order moves to Rejected and the reseller sees the reason.
6. Use the Accepted, Rejected and All tabs to look back.

Good to know

• Prices are frozen when the reseller places the order: the tier price for its own orders, the list price for a sub-customer's. A later price or tier change does not alter it.
• The Books order is a draft for that customer (the reseller, or the sub-customer for an order placed for one). Books' delivery and invoice move the stock and bill the customer as usual; see orders and deliveries.
• If the Books order cannot be made, the order is still accepted and the page says so: make the sales order in Books by hand.
• The credit limit is a flag, never a block: open Books invoices plus orders waiting are compared with the tier's limit.
• Allocations are used when you accept. A reseller cannot order more than its allocation left this month.
• The reseller can Cancel an order while it is waiting. A paused reseller cannot order.
• Each reseller's page also lists its latest orders, with All orders for the full list.
