Count assets by scanning their tags

An asset count checks that what the register says is in a place is really there. You walk the branch and scan each tag, and the sheet shows what was found, what is missing and what belongs somewhere else.

Before you start

  • You need the right Manage fixed assets and run depreciation to open, scan and close counts.
  • Your assets need printed tag labels. See Register an asset.

Steps

  1. Open Fixed assets → Asset count.
  2. Under New count, choose the branch and type the Place. Leave it empty to count every place of the branch.
  3. Add a Note if you want, then select Open the count. The assets expected there form the sheet.
  4. Scan each tag with Scan with the camera or a barcode scanner, or type the tag (for example FA-000123) and select Count it.
  5. Read the answer after each scan: Found, Already counted, Belongs somewhere else or No asset has this code.
  6. When you have walked the whole place, check Found, Missing, From somewhere else and Codes no asset has.
  7. Type What was found (needed to close) and select Close the count.

Good to know

  • A count changes no asset. It is the list you act on afterwards, for example to move an asset that turned up in another place, or to dispose of one that is gone. See Sell, dispose, move or revalue an asset.
  • A tag can be typed in several ways: FA-000123, fa000123 or 123.
  • Belongs somewhere else means the asset is registered in another branch or place, or has been disposed of.
  • Select Cancel the count to drop a count you do not need.
  • The owner gets an alert when a count stays open longer than the days set in the settings.
  • If Warehouses is switched on, an asset's place can be a warehouse location, and you can count by that location.
