Read the group profit and loss and balance sheet
The group statements read each member's Books, put every account on one group chart, and add them up with the balances between members taken out. Use them for the group's month-end and year-end view.
Before you start
- You need the Group owner or Accountant role. Viewers see the dashboard only.
- Each member needs Books switched on and set up. Members without Books are listed and left out.
- Members in another currency need a rate in Members and settings → Rates and budgets.
Steps
- Open Group → Groups and select Open on your group.
- Select the Profit and loss tab.
- Pick the first and last month, and select Show.
- Read Income, Expenses and Profit, per member and for the group.
- Select the Balance sheet tab, pick the month, and select Show. Read Assets, Liabilities and Equity.
- Select VAT to see each member's VAT for the period, side by side, and the VAT due in its Books.
- Select Closing to see, for each member and month, whether the Books period is closed, the lock date, and whether VAT was filed.
- To keep a copy, select Download CSV, Download Excel or Print / save as PDF.

Map an account to another group account (owner or accountant)
- Open Members and settings and go to Group chart mapping.
- Find the member and the account. Each account goes to the group account of its type by itself (By its type).
- Pick another Group account if this one belongs elsewhere. Only group accounts of the same kind are offered, so an income account can never land in expenses.
- Select Save for that member.
Good to know
- Same figures as each member's Books. Each member is read with the same report its own Books page shows, for the whole organisation, read-only.
- What is taken out. On the profit and loss, sales to customers marked as group members come out of group sales and cost of sales. On the balance sheet, the balances with customers and suppliers marked as members come out; if one side has not recorded its part yet, the difference goes to an inter-company difference line in equity, so the sheet still balances.
- Stock transfers between members are not in anyone's Books. The statements list them per member, with a note to post them as journals in that member's Books if they should appear there.
- VAT is never added up. Each member files its own return, in its own country.
- Left out, with the reason: Books not used, Books not set up yet, Books still updating (try again in a few minutes), or no exchange rate set.
- Exchange rates are typed by hand, one per member.
- Related: the group dashboard.
