Transfer stock to another group organisation

A group transfer moves stock from your organisation to another member at a price you agree between you. The goods leave your stock at cost and arrive in theirs at the transfer price, and the group figures take the transfer out.

Before you start

  • You need the Group owner or Accountant role.
  • Both organisations must allow stock transfers. Each owner sets this in Members and settings, in the section on what their organisation allows.
  • The other organisation must have the same products, matched by barcode or else by name. If a product is missing there, send your product list first (see send products, prices or suppliers).
  • Both organisations must use the same currency.

Steps

  1. Open Group → Groups, select Open on your group, then Transfers and shared data.
  2. In the transfer card, check that From shows your organisation, and pick the member in To.
  3. On each line, pick the Product, type the Quantity and the Transfer price (each).
  4. Type the VAT % for the transfer (0 if none).
  5. Optional: add a Note.
  6. Select Make the transfer and confirm. The stock leaves your organisation now and arrives at the other.
  7. The transfer appears in the list of transfers below, with its number (for example IC-000001), the Amount and what is Paid.
  8. When the buyer pays you, type the total paid so far on the transfer's row and select Record paid.

Good to know

Important. Group transfers are not posted to either organisation's Books, and they do not appear in either organisation's own sales reports. If a member's Books should show them, post them there as journals. The group statements list them per member to help you.

  • What is written. In your organisation: the stock goes down and a sale document is kept, with your cost. In the other: the stock goes up, the product's cost becomes the transfer price, and a purchase document is kept.
  • Never twice, never half. If the connection drops, making the same transfer again finishes what was missing and does nothing twice.
  • Up to 30 lines per transfer.
  • Paying for it. The money itself moves between the organisations' own bank accounts. Record paid only notes how much of the transfer has been paid; type the total paid so far, not the latest payment.
  • The group figures count each transfer per member and take it out of the group total. Goods still in the buyer's stock carry the seller's margin, which counts as group profit only when sold on (see the group dashboard).
